Returns, Cancellations & Refund Policy

1. Statutory 7-Day Cooling-Off Period (ECTA Section 44 & CPA)

In accordance with Section 44 of the South African Electronic Communications and Transactions Act No. 25 of 2002 (ECTA) and Section 16 of the Consumer Protection Act No. 68 of 2008 (CPA), consumers entering into an electronic transaction on XDew Books (xdew.co.za) are entitled to a 7 (seven) calendar day cooling-off period:

• You may cancel your SaaS subscription within 7 days of initial registration and payment for a full refund of prepaid subscription fees.
• Refunds under the statutory cooling-off period will be credited back to your original payment method (via iKhokha / Visa / Mastercard) within 14 business days.
• Exceptions: Where digital certificates (such as personalized SARS ITR12 preparation packs) have already been generated and exported, services are considered rendered in full.

2. Monthly SaaS Subscriptions (R79 / R99 Base ERP & R695 / R899 Full Suite)

Monthly subscription plans (including the Base Business ERP, Full Company Suite, and individual add-on micro-subscriptions) are billed in advance on a recurring 30-day billing cycle.

• Cancellation at Any Time: You may cancel your subscription at any time with zero cancellation penalties directly through the Billing portal on your dashboard (/dashboard/billing) or by contacting support@governx.co.za.
• No Lock-in Contracts: Subscriptions are strictly month-to-month. There are no mandatory annual commitments or hidden termination fees.
• Active Period Access: Upon submitting a cancellation, your account retains full access to all active features until the end of your current 30-day paid billing cycle.
• No Automatic Data Lockout: We never immediately block your access; your financial data remains available for export in PDF and CSV format.

3. Digital Returns & Once-Off Annual Tax Passes

Due to the immediate computational rendering of tax advice and document generation:

• Unused Tax Passes: If you purchase an annual Filing Season Pass (R499) and have not generated, downloaded, or exported an ITR12 calculation pack, you may request a 100% refund within 14 days of purchase.
• Rendered Declarations: Once an ITR12/ITR14 statutory tax preparation sheet has been exported or delivered to clipboard, the intellectual service is considered consumed and is non-refundable.

4. Service Availability & Quality Guarantee (CPA Section 54)

Under Section 54 of the Consumer Protection Act, consumers have the right to demand quality service. In the unlikely event that XDew Books experiences an unscheduled core platform outage exceeding 99.5% monthly availability, affected paying tenants are eligible for prorated service credits or subscription fee adjustments upon request to our support desk.

5. Historical Data Preservation & SARS 5-Year Compliance

Under Section 29 of the South African Tax Administration Act (Act 28 of 2011), financial records and Section 20 tax invoices must be preserved for 5 years. When an account is cancelled:

• You may download a complete cryptographic export of all invoices, customer records, and General Ledger journal entries in CSV/PDF format.
• Your encrypted historical records remain safely archived in Microsoft Azure South Africa North (Johannesburg) and can be retrieved by verified account owners by contacting support@governx.co.za.
